Using custom product exports

Purpose and scope

The Product Administration section in Management Interface aids in maintaining product catalogue quality by providing you with a set of features that allow you to create, update and maintain your product data.

The purpose of this article is to describe how to use the custom product export to export the product catalogue.

Step by step

Step 1: Log into Management Interface

Log in

Log into Management Interface using your username and password. This opens the dashboard of your Management Interface.

Step 2: Open Product Administration

Open

Click Catalogue on the left hand menu.

Step 3: Export product catalogue using Custom Export

  • Click Import & Export from the left side menu. This opens the Product Import / Export page.

  • Select Export tab. This opens a page giving you export options.

  • Select Custom Export. This opens the Product Export screen, that allows you to select which fields in your product catalogue you can export to a spreadsheet.

  • Highlight the fields you wish to export by left clicking your mouse and holding the ctrl key down.

  • Further refine the data you export using the radio button options and input fields listed.

Status

Export products based on their status. Options are Visible, Invisible or Both.

All products are exported if you do not make a selection.

Featured

Export products based on whether they are listed in the Featured section on your WebShop. Options are Yes, No or Both.

All products are exported if you do not make a selection.

Special

Export products based on whether whether the product has been set to be on special offer or not and displays a badge accordingly. Options are Yes, No or Both.

All products are exported if you do not make a selection.

Product SKUs

Export only those products whose product code is listed as a comma or row separated list.

All products are exported if you do not make a selection.

Product Count

Export only a set number of products. Products are exported sequentially, starting at 1.

For example, if you enter 25, only the first 25 products are exported.

Product Offset

Export only a set number of products, but start from a specific number.

For example, if you enter 1001, all products are exported sequentially, starting at 1001.

All products are exported up to a maximum of 65,356 rows (Excel maximum size) if you do not make a selection.

Recommendation

Combine the two fields - product count and product offset - to export your product catalogue if it is larger than the maximum number of rows allowed in Excel (65,356).

Suppose your catalogue has 80,000 products, and you want to export the data into four spreadsheets. Enter the following to achieve this:

  • Batch 1: Set Product Count to 20000. Leave Product Offset blank. This exports the first 20,000 products.

  • Batch 2: Set Product Count to 20000. Set Product Offset to 20,001. This exports the second 20,000 products.

  • Batch 2: Set Product Count to 20000. Set Product Offset to 40,001. This exports the third 20,000 products.

  • Batch 2: Set Product Count to 20000. Set Product Offset to 60,001. This exports the last 20,000 products.

  • Click Export to export the data.

Note that the product code is always exported and is the first column in the spreadsheet.
